In this newly created role as HR & Payroll Coordinator, youll be able to contribute to the success of our organization by improving of HR routines, processes and digitization as well as offering valuable support to colleagues and managers.

Your Key Responsibilities:

  • Managing the monthly payroll process, including salary preparation, liaising with external Payroll Agencies in the Nordic countries, and handling approvals and payments. Serving as the primary contact for our external payroll agency in all four Nordic countries.
  • Managing company pension plans, employee insurances, benefits, expense reporting, and company cars.
  • Ensure compliance with company policies, relevant laws, and regulations.
  • Establishing communication channels with national authorities, fleet companies, and external partners in Denmark, Finland, Norway, and Sweden.
  • Conducting payroll accounting in SAP across all four countries, managing salary payments, and preparing monthly salary reports.
  • Providing monthly HR-related KPI reports to Group and national authorities.
  • Prepare and submit payroll-related reports as required by management or regulatory agencies.
  • Assist in audits and compliance reviews related to payroll and HR functions.
  • Handling HR administration tasks such as preparing certificates, employment contracts, and managing personnel data.
  • Support our Managers in the recruitment process from advertising to administration of employment contracts and on-/offboarding processes.
  • Assisting the Finance team with various tasks and supporting the Head of HR in annual budget processes and salary reviews.

In this role you report to the Nordic Head of HR.

Your profile

To be successful in this role you have previous experience in service and/or coordination roles in HR and payroll. Experience in diverse HR processes is essential for success in this role. We also believe that you are/have:

  • Strong understanding of payroll principles, practices, and regulations from the Nordic market.
  • Proficient in labor legislation, preferably in Norway, Finland, and Denmark.
  • Detail-oriented with the ability to see the big picture, proactive in problem-solving, and skilled in prioritizing tasks.
  • Excellent attention to detail and ability to maintain confidentiality.
  • Strong interpersonal skills and a collaborative mindset.
  • Strong communication skills. Fluent in both Swedish and English.
  • Proficient in using Excel for data management, reporting and analysis. Knowledge in SAP, and are familiar with HR systems such as SuccessFactors or Workday.
